When it comes to organising your first post-pandemic school trip or tour, we know you’ve got more than enough to think about already. From concerns about potential cancellations, to communication with parents, insurance, accommodation, and above all, health and safety. All this when, essentially, you’re a bit out of practice.

With so much to consider, we can understand why many schools might be approaching booking school trips with trepidation. But at Study Experiences, we want to reassure you of our process, and especially of the way certain things have changed in response to the pandemic.

Pupils’ health and safety

The first thing to address is our unwavering commitment to upholding every aspect of safety on your school tour. Because, while it should go without saying, it never hurts to know exactly how your students’ safety is being prioritised.

While we already had stringent measures for pupils’ safety pre-pandemic, we have reviewed these in light of recent events and will continue to review them moving forward. But some things to be aware of are:

  • We hold all the trade body licenses including ATOL, ABTA, STF and LOtC.
  • Our last external health & safety audit was in February 2021 with Argent. For the tenth year running we have had NO RECOMMENDATIONS to help improve the way we control our safety management and quality provision.
  • Our team of experienced tour consultants will be on hand during office hours (08:00 – 17:30 hrs) to support you whilst on tour, AND outside of office hours for issues that need to be addressed urgently. 
  • As part of Next Generation Travel, our insurance policy has £10 million public liability cover. You can be assured that this exceeds the requirements of UK County Councils.
  • All properties used by us will have undergone a safety audit prior to its first use and thereafter every 3 years.
  • All coach companies that we work with both in the UK and overseas will have completed our standard audit.

Book with confidence

So you can plan and book with confidence, you will receive the following safeguards when booking with Study Experiences:

  • When you book a tour for travel and depart before 31st July 2023 if you wish to postpone for reasons linked to Covid-19 and it is within 12 weeks of your departure date, you can do so for free. 
  • If your trip is affected by Covid restrictions within 21 days of travel and you are unable to postpone, we will give you a full refund*.
  • Your group can postpone if a local lockdown is in place by instruction of the UK Government within 21 days of travel which effects the establishment authority and restricts the group movement and / or prevents the group from travelling.
  • If you need support with more flexible deposit payment terms then please contact us and we can discuss what will work for you.

Improved Insurance

We now have a new insurance policy for customers contacting us from 1st September 2021. This new, bespoke policy Travel Sure has been developed exclusively for schools and youth groups, is backed by ABTA and the School Travel Forum and underwritten by AXA.

  • Covid-19 cancellation cover - if passengers test positive for Covid-19 or have come into contact with someone who has tested positive for the virus
